1.0 Introduction

Find an EcoHome.co.uk is a project owned and operated by Redhive. Redhive is registered with the Information Commission (Reference Number available on request). This privacy policy aims to protect your privacy, explain how Find an EcoHome.co.uk may collect information relating to you and outline how that information may subsequently be used. If you have any queries in relation to this policy please contact us using the methods outlined in Section 5.

By accessing the website you are accepting the terms of the privacy policy. If you do not accept the policy or any of its terms, you must not access the website. This privacy policy refers only to the Find an EcoHome.co.uk website and not to any websites to which links exist from our website. We advise you to read the privacy policies of those websites where they exist.

You may print and keep a copy of this privacy policy, however, we may revise it from time-to-time. Please check the online version of the policy regularly to ensure that you are familiar with the current version. You agree to any change we tell you about unless, within 60 days of that notice, you write and tell us not to handle your information in the new way.

There are broadly four categories of information collected by Find an EcoHome that could relate to you: -

2.1 Personal Information

The following Personal Information is collected by us: -

- Full Name
- Company name and branch (if applicable)
- Postal address
- E-mail address
- Telephone number

Personal Information is used to create an account personal to you, and to allow the prevention and monitoring of fraudulent activity.

You will be able to search for and view EcoHomes without giving us this Personal Information, however, if you wish to use features such as Favourites or the Online Messaging System, we will ask you to register your Personal Information.

When you use our Online Messaging System to contact other members, your name (full name or company name) will be displayed. We do not recommend you include any further personal information; if you do so, it is entirely at your own risk.

Personal information may also be collected if you choose to contact us via post, email, telephone or online form.

The Personal Information we collect is provided voluntarily to us by you. Please do not submit your personal data to us if you do not wish us to collect it. We will only use this data for the purposes you have expressly authorised or as set out in this privacy policy and will not pass it to third parties without your consent.

We will store your information for a maximum of 3 years after the last log in. You will be contacted shortly before this time inviting you to log in once again to prevent your data from being deleted.

It is your responsibility to ensure that the Personal Information we hold relating to you is kept up to date. You can amend your existing details by visiting the ‘My Profile’ section of the website and then selecting ‘Edit.’ For the purposes of minimizing fraud, we record all revisions made to Personal Information along with dates and times.

2.2 Automatically Obtained Data

We automatically gather data such as your IP address, the site you had previously visited, the browser you are using, and statistics about how you use the Website ("User Data"). This may also include demographic data such as the geographic location of users.

We may provide carefully selected third parties, at our discretion, with User Data, but this will not include information that could personally identify you.

When you first visit our site we automatically send you a cookie (a small text file which we create on your computer) which allows us to recognize you when you return to the website. If you are concerned about cookies you have the ability through your browser to either reject all cookies or to provide a warning before any cookie is loaded on to your computer. 2.3 EcoHome Information

The information we collect about EcoHomes includes: -

- Location
- Floors and Rooms
- Specification
- Images and/or floorplans

This information is necessary in order to provide our core services, but is provided by you voluntarily. All of the information collected will be available to the public once payment is received, subject to the Find an EcoHome.co.uk Terms and Conditions.

EcoHome Information remains linked to your account for 3 years after your listing expires. You will be contacted shortly before this time inviting you to log in once again to prevent your data from being deleted.

Following a sale, you will also be invited to send a copy of the information to the buyer to use for future lettings and/or sales.

You are responsible for keeping your EcoHome Information up to date. EcoHome Information can be amended by accessing the ‘My EcoHomes’ section of the website and selecting ‘Edit Listing’ from the dropdown menu. In particular, the status of the property should be updated as soon as possible after it changes (e.g. sold/rented subject to contract or sale/letting completed). For the purposes of minimizing fraud, we record all revisions made to Personal Information along with dates and times.

You are responsible for checking the listing once it is made public to ensure that there are no errors or elements which may be construed as being misleading to other users. If either of these circumstances occurs, you must contact us immediately using the details provided.

2.4 Communications

Whilst you are a user of the website, there may be occasions where you wish to contact us or other users. There will also be occasions where we wish to or are required to contact you.

It is important to remember that Find an EcoHome.co.uk is not an estate agent, and does not take calls or enquiries about your property from potential purchasers. This function is fulfilled by our Online Messaging System. These communications are not secure, and should not contain any Personal Information. Any Personal Information included is done so entirely at your own risk.

When you communicate with other registered users on the site via our Online Messaging System, only your name (full name and/or company name) will be displayed. We retain all messages sent between users and may access this data following suspicion of fraud or when a message is flagged by another user as possible spam or abuse of the Messaging System. If you wish to report abuse, please use the contact details provided.

During registration, we record which types of e-mail you wish to receive from us. You may amend these preferences at any time by accessing the 'My Profile' and then selecting 'Unsubscribe' as appropriate. From time to time it may be necessary to inform you of important changes to your service, regardless of your e-mail preferences. It is your responsibility to ensure that your contact details are up to date. These can also be amended by accessing the ‘My Profile’ section of the website and selecting ‘Edit’.

We recommend that you add the e-mail address support@findanecohome.co.uk to your Safe Senders list to prevent spam filters from incorrectly identifying emails from us as spam. When sending emails to us, it is recommended that you include ‘ECOHOME ENQUIRY’ in the subject line to prevent our own spam filters from identifying your email as spam. We will retain all email correspondence with you for record purposes.

You consent to the transfer and/or storage of your personal information outside of the European Economic Area (which may not provide the same protection for such information as the United Kingdom provides) in the event that the processing of your information involves such a transfer.

3.0 Safeguards and Security

No data transmission over the internet can be entirely secure, and therefore we cannot guarantee the security of your personal information and/or use of our sites. However we use our reasonable endeavours to protect the security of your Personal Information from unauthorised access or use.

In addition to our safeguards your Personal Information is protected in the UK by the Data Protection Act 1998. This provides that the information which we hold about you should be processed fairly, lawfully and should be accurate, relevant and not excessive. The information should, where necessary, be kept up to date and not retained for longer than is necessary.

You may at anytime request access to all information we hold about you via the contact details provided. We will provide this information within 40 days of a written request for an appropriate administrative charge.
